BEFORE BOOKING

If you are a prospective guest interested in renting an apartment with Vanrays, you can book at least 3 days in advance. If you would like to make a reservation less than 3 days in advance, please contact us to check availability and expedite the process with our reservations team.

If you rent the apartment for more than one month, Vanrays considers it to be a corporate rental, with a set price per month. In this case, if the client stays half a month, those single days are charged at the same price as the monthly rate prorated in days.

Utilities (water, electricity and gas) are included in the monthly price, up to a limit. Our representative in charge of welcoming you at the property will take note of the data in your registration process.

Towels and bed linen are provided, with an additional change. There is also a set of amenities for each bathroom and another set of cleaning products (scouring pad, cleaning cloth, garbage bags, washing machine and dishwasher tablets). 

The guest can enjoy additional services such as maintenance, daily cleaning, ironing service and other services. Do not hesitate to contact our reservations team and we will provide you with more information.

RESERVE

To book an apartment through our website, you have to enter the dates in our search engine and you will be able to check which apartments are available for your stay. Then, complete the form with your personal information and other necessary data to make the reservation. The price is established per night of stay in the apartment plus the final cleaning fee. You will proceed to make the payment, with different payment methods (through Paypal or bank transfer).

There is also the possibility of pre-reserving 1 apartment for 24 hours, so that the client can consult with friends or family before making the decision.

If you have consulted our team and still have doubts about whether this is the right property for your stay, please do not hesitate to let us know your request. We will do our best, within the availability of the apartment, to arrange a visit and show you the property.

When you stay with us, you have the possibility to have a driver waiting for you upon your arrival at the airport. Our team will control the driver by gps on his way to the apartment.

If you are traveling with a child under 12 years of age, you must inform us in order to bring the appropriate seat for the transfer.

Fill out the booking form that you can find in the services section to tell us more details of your arrival, so we can transfer your request to our driver. You will receive an email with the transport quote that you can confirm immediately.

If there is availability, you can extend your reservation by contacting our reservations team in advance. 

The reduction of the reservation will only be possible if there are more than 30 days left for your arrival and provided that the minimum stay of the property is respected.

If for any reason you wish to cancel your stay, please notify our reservation agents as soon as possible. Depending on how far in advance you notify us of the cancellation, we will reimburse you the following percentage:

 

  • More than 30 days 100% 100% of the total
  • 15 to 30 days
  • From 0 to 14 days 0% 0

You have the opportunity to reserve an apartment for 24 hours so that you can consult with your friends or family to make the decision. Once this period has elapsed, the dates will be available for any other guest to reserve the property. Choose the possible apartment for your stay with our reservation agent through our customer service phone or by email.

We are happy to work with companies that want to present their product, shoot a movie, a photo shoot or any kind of event in our apartments. 

Our team will take note of your proposal to communicate it to the owner. Once we have the confirmation from the owner, you will be able to hold your event. Please note that this type of rental has a different cost than a conventional rental. 

 

As a general rule, pets are not allowed in our properties. However, you can ask our reservation agents which apartments allow pets.

No parties or events are allowed in the apartment.

During the night from 11:00 pm to 8:00 am is NOT allowed:

  • Playing music or television at a volume that neighbors can hear or talk too loudly.
  • Walking on the floor in heels or especially noisy shoes.
  • Dragging furniture, suitcases or any object that generates a special noise.
 RULE VIOLATIONS 
 

Please note that you must respect the House Rules and the rules detailed above. Failure to comply with any of them depending on their severity, will be reason for cancellation of your reservation the cancellation policy of the apartment, you will not be refunded any amount corresponding to the reservation.

 

Cancellation will take place immediately upon non-compliance with the rules and will mean that you will have to check-out at the time we notify you. 

If you detect any problem or anomaly in the apartment upon your arrival, please inform us as soon as possible so that we can repair it. Our maintenance team will go to the apartment as soon as possible to solve it. 

Almost all our apartments have a Nespresso coffee machine. In any case, if you want to have a filter or Italian coffee maker, just ask for it, and our team will do everything possible to provide it during your stay.

The rules of coexistence stipulated by the Community of Madrid must be respected in all our apartments. Music cannot be played after 23:00 at night.

We have a contact telephone number from Monday to Friday from 9:00 am to 6:00 pm and Saturdays and Sundays from 12:00 pm to 4:00 pm. We are available during these hours only on our cell phone number on weekends, not in the office. Our emergency and contact telephone number is 919 42 68 27.

Our representative in the city will explain to you during the check-in process everything you need to know about the house, how each appliance works. If you need assistance, please contact our team. Please note that our maintenance team is available during office hours for any request and 24 hours for emergency situations.

In all our apartments there are two sets of keys. Remember to leave the keys on the table before leaving.

ARRIVAL

Check-in hours are from 16:00 pm (4 pm) to 20:00 pm (8 pm). 

Arrivals after 20:00 p.m. have an extra cost of 30 euros.

Arrivals after 23:00 p.m. have an extra cost of 50 euros.

*This amount will be paid in cash upon arrival.

We will do our best to meet your needs and, as long as the apartment is available, an early check-in is possible (from 11:30 a.m.).

Remember to inform our team as soon as possible of your arrival time. 

Smoking is not allowed inside the apartment.

A Vanrays representative will welcome you to the apartment, explain everything you may need about the house and give you information and recommendations about the area and everything you may need.

In the check-in process:

  • It is mandatory to provide the ID card or passport of the traveler who made the reservation in order to comply with local law. 
  • A reservation contract must be signed.

If your stay is longer than one month, members who will be staying at the property must bring a copy of:

  • Visa (if required by your country of residence)
  • If your stay is for work or educational reasons, you must provide us with a document that justifies these reasons (for example: work contract, invitation to a work seminar, invitation to an educational seminar, university registration, Erasmus accreditation document...).

We can make a welcome purchase for you. Just list the items you would like to find when you enter the apartment and our team will make sure they are in the house before your arrival. Ask our team for the cost of this service.

If you are a future guest interested in renting a temporary apartment with Vanrays, you can book in advance with a minimum stay of 3 days. If your stay is less than 3 days, please contact us to check availability with our reservations team.

Just enter the dates in our search engine and you will be able to check which apartments are available for your stay. Then, you can fill in the form with your personal information and other necessary data to make the reservation. By doing this, you only need to pay through our payment gateway. The price is set per nights stay in the apartment plus the final cleaning fee.

DURING THE STAY

When leaving the apartment, no cleaning is required. All our guests have the final cleaning included in their reservation.

If your stay is longer than 5 days, our team will leave an additional change of bed and two towels per person in the apartment.

If you wish, you can request another change to our team. This service will have a cost.

Yes, you only have to request the items to our reservation agent and our team will leave the desired items in the apartment. Ask our representative for the cost of this service. The crib includes bed linen.

On our website, in the services section you can see the dimensions of each bed in your apartment.

We are very environmentally conscious and we take care of the good use of energy and water in our apartments. Total utilities are included in the total cost of the rent up to a maximum. Above that limit, the costs corresponding to the deposit will be applied.

All our apartments offer free Wi-Fi connection. Please note that the inability to connect to the Wi-Fi network for reasons attributable to the operator is not the fault of Vanrays. In case of failure, we will try to solve it as soon as possible.

EXIT

The established departure time is 11:00 am.

For logistical, organizational and cleaning needs, check-out time is 11 am. Sometimes, if there are no reservations for the next day, there is the option to leave the apartment later. Otherwise, you can always request to store your luggage in our office. Please contact us for schedules and other possibilities.

In case there are other guests entering the apartment on the same day, you can leave your luggage in the apartment until 12:00 noon. If you want to keep your luggage longer, please ask our staff for this service.

It is not necessary for a member of our staff to come to the apartment to check out. Please be sure to do as explained in the following question.

Please, before leaving the apartment, we would appreciate if you could do the following:

  • Do not forget any personal belongings
  • Turn off the air conditioner and all lights/appliances in the house.
  • Leave the two sets of keys on the dining room table.
  • Leave the door closed

We can make a welcome purchase for you. Just list the items you would like to find when you enter the apartment and our team will make sure they are in the house before your arrival. Ask our team for the cost of this service.

Contact us as soon as possible to inform us of the item you forgot and where it was located in the apartment. We will be happy to ship your lost item to the address you provide. The guest must pay the shipping costs.

EXTRA SERVICES

The final cleaning of the apartment is included in the reservation. But if you wish, you can contact us for a member of our cleaning team to clean the apartment on the agreed date and time and leave a new change of sheets and towels. The cost of this service depends on the apartment, see the listing of each apartment for the exact amount.

If our guests wish, they can enjoy the ironing service at home. The cost of this service will be 15 € plus VAT per hour. The minimum time for this service must be two hours.
